Part-time Office Assistant

Position Title: Office assistant

Great Works Regional Land Trust seeks a well-rounded individual to join a close-knit, self-motivated staff. A natural tendency to pay attention to details is a requirement for the position and a passion for land conservation is a plus. The organization has conserved more than 6,000 acres of woods and farmland in Eliot, the Berwicks, Wells and Ogunquit since its founding in 1986 and has over 1,000 members, four part-time staff and an active Board of Directors.

The position of office assistant is currently a part-time position (7-10 hours per week) at our Beach Plum Farm, Ogunquit headquarters. The office assistant works under the supervision of the administrative coordinator and reports to the Personnel Committee. The position provides opportunities for growth.

QUALIFICATIONS

  • Proficiency in Microsoft Office (Word; Excel; PowerPoint) required
    • Strong communication skills, written and oral
    • Exceptional customer service, over phone and in person
    • Experience with databases is preferred, but not required
    • Excellent organizational skills and attention to detail
    • Ability to work both independently and in a team
    • Excellent interpersonal skills

Primary responsibilities include:

1. DATA ENTRY AND DONATION PROCESSING

  • Enter gifts, including copying checks, tracking weekly batches
  • Generate acknowledgement letters
  • Code and track general donations, tributes, membership and workplace gifts
  • Enter online transactions (sign ups, donations, memberships and event registrations) from online giving systems
  • Assist with creation of donor lists and other gift queries and reports

2. MAILINGS & MAIL LIST MAINTENANCE

  • Perform database maintenance and cleanup projects to improve data integrity
  • Perform mail merges and assist with solicitation and other mailings
  • Run monthly membership renewal letters

3. EVENT SUPPORT

  • Provide administrative support for special events, including assisting with mailings, phone inquiries, in-kind gift tracking and other clerical duties.
  • Attendance at Special Events (Spring Auction, Annual Meeting) is required and may require evening or weekend work.
